The Status Import page serves as a solution for properties that don’t have the option to integrate their PMS system with Flexkeeping. It allows users to manually or automatically update cleanliness and reservation statuses for each room.
This feature can be accessed on the web via HK Management → Status Import.
Manual Status Management
On the Status Import page, users can manually adjust both the cleanliness and reservation statuses for each room.
1. Cleanliness Status
To change the cleanliness status:
Click on the room number to toggle between Dirty and Inspected.
2. Reservation Status
To change the reservation status, select one of the following options:
D – Departure
S – Stayover
E – Empty
3. Adding Attributes
You can add or remove attributes by clicking on the left side of the room button. The following attributes are available:
Due in
Change Linen
Checked Out
OOS – Out of Order
For Check
Guest Declined Cleaning
DND – Do Not Disturb
Guest in Space
Assign Turndown
Turndown Completed
Once all modifications have been made, click Save Changes to apply them.
This menu is added during the onboarding process and is only accessible on the web.
Morning Status Import (Excel Upload)
For properties that prefer not to update rooms one by one, there’s an alternative option to import reservation data into Flexkeeping using an Excel (XLS) file.
Steps to Import Statuses
Go to the following page in your web browser: https://app.flexkeeping.com/space_status
Click Browse file and select your XLS file for upload.
Example file: Flexkeeping_status_importer.xlsxClick Upload file and then Save file.
After uploading, navigate to https://app.flexkeeping.com/workday to review the imported reservations for that day.
Status Import Logic
When preparing your XLS file, make sure the following fields match your Flexkeeping setup:
Room number and Reservation ID do not have to be the same number.
Reservation Status Logic
The Reservation Status in the Excel file overrides the Arrival and Departure dates.
If you select a future arrival date but set the status as Checked-in, the room will appear as Checked-in.
If you select Checked-out, the room will show as Departed, regardless of the departure date.
