What is the cleaning automation? 

The cleaning automation is an additional feature that allows the properties to create custom and complex housekeeping cleaning schedules based on a different number of parameters. The cleanings can be scheduled based on:

  • Reservations data from your PMS: the length of stay, room rate, the number of guests, etc.

  • Room status and attributes: arrival, stayover, departure, etc.

  • Room type

 

Cleaning automation boosts productivity and efficiency in a world where sustainability and guest personalisation are increasingly crucial.



Setting up the rules and cleaning credits


The set up of rules and conditions is created by the onboarding specialist, based on the data that was provided during the onboarding session. 

When the cleaning schema is enabled an additional editor for cleaning credits becomes available, allowing you to input the cleaning credits for each type of cleaning. To access this, navigate to My Hotel - Rooms - Select the Rooms then click on the credits button and fill out the information.




Room Page: Web and Mobile View

The room status view now includes an additional line that presents the scheduled cleaning type for the current day, accompanied by the assigned cleaning credits. This information is displayed both on the web and mobile versions.

Room Allocation

When this feature is enabled, an additional tag will appear above each room, showing the allocated credits for that specific room on the current day. Clicking on the tag will reveal a detailed breakdown of the credits, as seen in the picture below.

Additionally, the room view can be filtered by the cleaning types. 



Week view - Housekeepers 

We've introduced a visual indicator to indicate the housekeeper's workload. Now, there's a red indication (overworked) and a green indication (on or below target) to signal whether a housekeeper has been assigned too many credits, as determined by the value entered in "Credits per HK/day." This feature provides a quick and clear assessment of the workload status of each housekeeper.






Week view - Rooms

With cleaning automation, we've introduced a new Room View tab that presents a matrix showcasing rooms, dates, and various types of cleans. This feature helps you easily understand your future cleaning needs and consequently the number of housekeepers needed to perform those cleans.

On the top of the page, you can select the week and the day that should show the start of the week. If you wish to view only the list of rooms requiring cleaning today, simply toggle the "For Cleaning" button on the right. In this scenario, the system will display rooms scheduled for cleaning today first, followed by those with cleaning planned for the following day.



Order of rooms on this view, follows the same order that was defined in My Hotel - space page. If no specific order has been designated, the rooms will be organized based on their ID, determined by the timeline of their creation.


Side Panel 

When a user clicks on the automated clean, the side panel opens with the following details:

  • Cleaning and its credits: the details available include credits per assignment on that day, attributes and the cleaning type.

  • Reservation details, connected to the cleaning on that day: the reservation details summarize the same details as on the Status view: the number of guests, length of stay, attributes and traces if present.




Credits breakdown

We have expanded the credits breakdown when you hoover over the total credits in the calendar header. The breakdown now includes:

  • The number of cleaners required, calculated based on the credits per housekeeper per day and the total cleaning credits.

  • The overall count of cleaning credits.

  • The total count of cleanings and associated cleaning credits for each cleaning type.

  • The total number of tasks and credits linked to those tasks.




In the "Room" view, the lines represent reservations and come in three variations:

  • The blue line represents a currently checked-in reservation (stayover)

  • The light blue line indicates a future reservation (not yet checked in)

  • The dotted gray line indicates a reservation that is made for a room type and Flexkeeping virtually assigns that given room based on the availability on the schedule. Please keep in mind that this is currently supported only for the properties that are integrated with the Apaleo PMS.




All the cleaning types are visually represented with the following colours:

  • White: No clean

  • Light Blue: Light Clean

  • Green: Full Clean

  • Yellow: Deep Clean

  • Purple: Room Check

  • Orange: Departure Clean



Manual Override

This function allows you to manually adjust the cleaning for the current and future days if needed. This is useful when the guest for example asks that the cleaning should be done on a different day as planned. To remove or add the cleaning, click with the right mouse button, and the drop-down list with the cleaning types and attributes will appear. Select the option you want and click Confirm. 


Any manually added cleaning will be visually identified with a hand symbol as seen in the video below.
